Frequently Asked Questions

Everything UK businesses need to know about launching, running and growing a digital loyalty programme with Ruloyal.

Getting Started

What is a digital loyalty card?

A digital loyalty card is a paperless reward card stored in a customer's Apple Wallet or Google Wallet. It replaces physical stamp or punch cards, letting customers collect stamps or points digitally at every qualifying visit or purchase. Ruloyal delivers loyalty cards as native wallet passes - no separate app download required for customers.

How long does it take to set up a digital loyalty programme?

Most businesses are live within a day. A basic stamp card - with your branding, reward rules and QR code ready for the counter - takes one to two hours to configure. More complex setups with multiple card types, automation rules or POS integration typically take one to two days. The platform stays fully usable during setup so you can go live with a basic configuration and add features as you go.

Do I need any hardware or technical skills?

No hardware purchase is required. Staff issue stamps from any tablet or smartphone using the Ruloyal staff app. No coding or design skills are needed - the dashboard has a built-in pass designer and the QR code is generated automatically once your programme is configured.

Do customers need to download an app?

No. Customers scan a QR code or open a short link and add the loyalty pass directly to Apple Wallet (iPhone) or Google Wallet (Android). There is no separate app to download, which removes the biggest barrier to enrolment and is the main reason wallet-based loyalty programmes see higher participation rates than app-based alternatives.

Running the Programme

How do staff issue stamps?

Staff open the Ruloyal staff app on a tablet or phone and scan the customer's wallet pass QR code. The stamp is issued in two to three seconds and the customer's pass updates immediately. Alternatively, you can display a permanent counter QR that customers scan themselves, removing the need for staff involvement on every transaction.

Can I run more than one loyalty card at the same time?

Yes. Ruloyal supports multiple concurrent stamp programmes. A café can run a hot drinks card and a food lunch bundle card simultaneously, each with different stamp rules, rewards and expiry settings. Each customer can hold multiple passes.

Can I change the reward rules after the programme is live?

Yes. You can update stamp targets, reward types, expiry rules and offer messaging at any time from the dashboard. Changes take effect on all active wallet passes immediately - customers see the updated programme on their existing pass without needing to re-enrol.

What happens if a customer forgets to present their pass on a visit?

You can add stamps manually to any customer account from the dashboard. Search the customer by name or phone number and issue the missed stamp. This keeps customers engaged without frustration and prevents the goodwill damage that comes from rigid 'forgot your card, sorry' policies.

Can I use Ruloyal across multiple locations?

Yes. Ruloyal supports multi-location programmes where stamps and rewards are valid across all sites, or location-specific programmes where each site runs independently. A central dashboard lets you monitor all locations in one view while each site tracks its own performance.

Security & Compliance

How do you prevent stamp fraud?

Stamps are device-bound and issued through a validated QR flow. Each stamp is tied to a device ID and timestamp, making it effectively impossible to duplicate, screenshot or share a pass to earn fraudulent progress. Staff permission controls limit who can issue or reverse stamps, and a full audit trail records every transaction. Suspicious patterns - such as unusually rapid stamp accumulation - are flagged in the analytics dashboard.

Is Ruloyal GDPR compliant?

Yes. Ruloyal is designed with UK data handling requirements in mind. Customers give explicit consent when they join the programme, and all data is handled in line with UK GDPR. You can view, update or delete customer records from the dashboard at any time. Ruloyal does not sell or share customer data with third parties.

Where is customer data stored?

Customer data is stored securely on servers within the UK and EU. Ruloyal uses industry-standard encryption for data at rest and in transit. Full details are available in our privacy policy and data processing agreement, which is provided to all business customers on request.

Pricing & Plans

How much does Ruloyal cost?

Ruloyal offers transparent monthly subscription pricing for UK small businesses with no per-customer fees. Plans start from an affordable monthly rate and scale with the features your programme needs. A free trial is available so you can test the platform before committing. Visit the pricing page for current plan details.

Is there a free trial?

Yes. All new accounts start with a free trial period so you can configure your first loyalty card, issue stamps and test the full customer journey before subscribing. No credit card is required to start the trial.

Are there limits on the number of customers or stamps?

Ruloyal plans include unlimited customers and unlimited stamp issuance - there are no per-transaction or per-customer fees. You pay a predictable monthly subscription regardless of how many customers join or how many stamps are issued.
